Danoffice IT Green places a high level of priority on proper and lawful processing of personal data. It is crucial to us that you can trust that your information is being processed securely and lawfully.

Pursuant to the General Data Protection Regulation (EU Regulation 2016/679) and the Data Protection Act, Danoffice IT Green is obligated to protect personal data processed about customers, suppliers, cooperation partners, employees, and any other natural person.

This Policy on Personal Data contains more information about how we process personal data in general and upon which principles the processing is founded in those instances when we are tasked with processing personal data. You can also find more information about what types of information we gather and what we use them for, as well as your rights if or when we process information about you.

To whom is this Policy on Personal Data relevant?

Our Policy on Personal Data is relevant to everyone about whom we process personal data. Our Policy on Personal Data is also an addendum to our internal guidelines applicable to all our employ ees.

 Our fundamental processing principles

Danoffice IT Green processes personal data to the extent necessary in order to fulfil our company’s role as a supplier and preparer of new and used IT equipment.

Our processing of personal data is performed in a legal and fair manner and in complete compliance with the rights of the registered persons. The personal data we process must be correct, and they must be updated and verified in the event of a change or incorrect personal data. Our processing of personal data is limited in time (see the section regarding deletion). All processing of personal data is considered confidential.

Danoffice IT Green verifies that our employees know that processing of personal data shall occur subject to confidentiality and pursuant to the applicable laws on personal data.  

Our fundamental principles for processing personal data are:

  • Everyone about whom we process personal data shall feel secure in our processing.
  • We have a defined business purpose before we begin any processing of personal data.
  • We have made arrangements to ensure that our processing is performed pursuant to the General Data Protection Regulation and the Data Protection Act.

Processing activities

As the processor, we perform a number of processing activities which also includes staff administration, collaboration with customers and suppliers, as well as marketing activities. We keep internal records of our processing activities.  

 

Staff administration

We inform our employees internally about our processing of their personal data.

 

Collaboration with customers

We gather and process necessary personal data in order to collaborate with our customers. We strive to only gather any information necessary to perform our tasks in the collaboration, in order to meet our obligations.

In the collaboration with our customers, we typically only gather and process ordinary personal data such as name, address, telephone number, email address and similar contact information related to the owners of the customer company and their contact persons. Personal information is gathered by using our internal IT system and is stored in our customer database.  

In addition to that, information exchanged between us will be stored such as email correspondence, telephone notes, and other mail items. Processing of such personal data is necessary in order to pursue legitimate interests as it relates to administration of our company and fulfilling with our obligations to our customers.

Suppliers and other partners

We gather and process information in order to collaborate with our suppliers and other partners. We strive to only gather the information necessary to perform our duty in the collaboration including primarily fulfilling our obligations and maintaining our interests in relation to preparation and sale of IT equipment and services.

In the collaboration with our suppliers and other partners, we typically only gather and process ordinary personal data such as name, address, telephone number, email address and similar contact information of relevant contact persons.

In addition to that, information exchanged between us will be stored such as email correspondence, telephone notes, and other mail items. Processing of such personal data is necessary in order to pursue legitimate interests as it relates to administration of our company and ordinary business operations.

 

Marketing activities

We gather and process personal data in relation to our marketing activities. We strive to only gather the necessary personal data in order to achieve our pre-defined marketing purpose.

Our overall marketing activities include among other things mailing of newsletters and the use of cookies on our website. As for our newsletters, we have created certain terms and conditions just as we have for our website cookie policy.

 

From where do we gather the information?

The personal data we gather and process is collected directly from the registered companies or their employers if it is gathered in relation to a contract for delivery with companies.

Transfer of personal data

Depending on what type of personal data are at issue, the processing purpose and the context in which the personal data is found, we may transfer the personal data to a third party, including a government entire such as a municipality or the Danish Tax Authority, etc. If the personal data is processed as part of a delivery agreement or a cooperation agreement with a company, the information about the company’s employees is transferred to the company.

To a certain extent, we share personal data to our suppliers when necessary to fulfil the purpose of the collaboration. We ensure that the need to transfer the personal data is founded in the processing purpose.

 

Processing security

We ensure confidentiality, integrity, and accessibility as it relates to the personal data we process through technical and organizational security precautions.  

Our technical security precautions include the security in the IT support used in our business. Our organizational security precautions encompass that we have set guidelines and policies to which our employees must adhere. We stay on top of this and we educate our employees to the extent necessary.

Our processing security for the personal data also encompasses that we ensure lawful processing which includes that we adhere to the processing principles, we comply with the laws on personal data, and we ensure that we have a processing purpose for all processing.

 

Deletion

The personal data we collect and process will be deleted when our processing purposes have been fulfilled and we then no longer need the information. Contact us if you want the personal data to be deleted immediately.

Rights of the registered individuals

The persons about whom we process personal data have a number of rights pursuant to the applicable laws on personal data, and we respect those rights. The rights include:

The right to receive information about processing of personal data

You have the right to obtain information on the information we process about you and the purposes for which we are processing the information, who we share the information with, etc. By default, you will receive this information at the point in time when we gather the information or the first time, we make contact with you.

The right to know

You have the right to know what information we are processing about you as well as receiving the information we have stored.

The right to correction or deletion

You have the right to have incorrect information about you corrected. This also means that in some instances, you will be able to supplement the information we have registered about you. In some instances, you also have the right to have the information we are processing about you deleted sooner than we would normally delete the information pursuant to our ordinary deletion procedures.

The right to limit the processing of information

In some instances, you have the right to limit the processing we are performing on your information. Specifically, this would be if you feel the processing is unlawful or if you are disputing the accuracy of the information.

The right to have your information provided (data portability)

In some instances, you have the right to have the information about you provided in structured form and in an ordinary readable format. That is called data portability.

The right to object to processing

You have the right to object to our processing. After receiving such an objection, we are solely permitted to process the information if we can demonstrate a substantial legitimate purpose for the processing which outweighs your interest.

The right to withdraw your consent

If we are processing information about you pursuant to your consent, you may withdraw any such consent at any point in time. If you withdraw your consent, we are not permitted to continue to process information about you unless we have other cause for continuing the processing. For instance, that could be if we are obligated to do so or if we have an agreement with you which we must fulfil.

Complaint
